Proxy or Delivery Export? Check the File Before Publishing a Club Video

Identify the approved export, check which source media produced it, and keep a clear handoff record so a review copy is not mistaken for the publication file.

Before delivering a club video, identify the approved export and the media used to create it. A small review copy can be useful for checking the edit, but approval of its content does not automatically make that file the intended publication copy.

Give each file a clear job

Keep the camera recording, editing proxies, review exports and approved delivery file distinguishable. Record the event, cut version, intended use and location. A filename containing “final” is not evidence of which source media or export settings produced it.

Kdenlive documents a Use Proxy Clips option for rendering from proxies. Check the export setting separately from how the editing monitor is displaying the project. If another editor is used, consult its own documentation; do not transfer a menu name or default from Kdenlive.

Check the source before exporting again

Ask the editor which media should be used for the approved delivery. If the intended full-resolution media is missing, locate and reconnect the correct files through the editor’s supported workflow before approving a new export. Do not replace a missing source with an unrelated file just because its name looks similar.

Use a short passage that includes movement and details such as a shirt number or a distant scoreboard. Compare the source, the intended export and any review copy at comparable viewing sizes. A larger output frame does not by itself prove that the export used the intended source.

In a hypothetical handoff, a volunteer approves the interview’s wording using a lightweight review file. The person publishing the video later receives that same file renamed “final”. The content approval remains useful, but the team still needs to identify and review the actual delivery export.

Approve the exact file being handed over

  • Record the approved cut and the source-media location used for export.
  • Record whether proxy or preview files were deliberately used in that export.
  • Open the resulting file outside the editor and confirm its filename, duration and dimensions.
  • Check the chosen action passage, spoken audio and ending against the approved cut.
  • Put the checked delivery file in a clearly identified handoff folder and record who approved it.

If the result is unexpectedly soft, compare it with the source before changing hosting settings or repeatedly uploading. This comparison narrows the next check; it does not diagnose every possible cause of a soft picture.

Keep the handoff connected to publication

Pleymeikel Labs lets creators host and organize their videos. Keep the delivery record with the production material and select the exact file that was checked. After the applicable preparation and publication steps, review the viewer version as a separate result. Retain the source and approved export according to the team’s retention decision; a successful transfer alone does not verify the picture.
